Privacy Notice
Effective 9 September 2026
KALYX is a private-beta business workspace. This notice explains how KALYX handles information when you use the platform.
Information KALYX processes
KALYX processes account and workspace information you provide, such as your email address, workspace name, instructions, conversation history, job results, and the business data you choose to create, import, or connect.
Google data
When Google features are enabled and you connect your account, KALYX uses your connected email address to identify the account. At your direction, KALYX searches Gmail, displays message previews, retrieves identified messages, and sends explicitly requested replies. Generated response text is not saved as a Gmail draft. KALYX also reads, creates, updates, and cancels events on your primary Google Calendar. KALYX does not sell Google user data or use it for advertising.
Model processing
When a Google-connected feature requires AI reasoning, KALYX sends only the relevant Google-derived content to Google's paid Gemini API. Before model processing, KALYX removes credentials, attachment data, transport headers, and unrelated conversation history. Under Google's paid Gemini API terms, prompts and responses are not used to improve Google's products. Google may retain prompts, context, and responses for up to 55 days for abuse monitoring and required legal or regulatory disclosures, and authorised personnel may review content flagged for policy enforcement. Optional Gemini API developer logging is disabled, and KALYX does not contribute Google-derived content through datasets, feedback, tuning, grounding, Files, or stored Interactions. General requests that do not contain Google-derived information may use another model provider.
How information is used and shared
KALYX uses information to authenticate users, provide requested workspace features, execute requested actions, maintain security, and improve service reliability. Workspace access is restricted to authorised members. KALYX transfers Google-derived information only when needed to provide or secure the user-requested feature, comply with law, or as part of a merger, acquisition, or sale after giving users notice. Human access is limited to cases needed for security, support requested by the user, legal compliance, or provider policy enforcement.
Security and retention
KALYX uses workspace access controls and hosted infrastructure. Connected Google credentials are held server-side. Google-derived content may remain in workspace conversation history, stored job results, and restricted workflow execution records after a task finishes or Google access is revoked. KALYX does not currently apply one automatic deletion deadline to every record. Records are retained as needed to operate and secure the private beta, meet legal obligations, and complete verified deletion requests. Residual copies may remain until applicable backup-retention periods expire. Gemini's provider retention is described above.
Your choices
You can revoke KALYX's Google access through your Google Account's third-party connections settings. Revocation prevents future authorised Google access once Google applies it; it does not delete information already held by KALYX. KALYX currently has no in-app Google disconnect control. Contact kalyxtechnologies@gmail.com to request help with access or deletion of KALYX-held account, workspace, conversation, or job data. KALYX verifies deletion requests and may retain information required for security or legal obligations.
Google Limited Use
KALYX's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
